The purpose of this Policy is to provide guidelines on best practice to be adopted with respect to the collection, use and storage of the personal information of relating to the employees customers, contractors and suppliers of Aquarium Avenue Pty Ltd and Greenfield Road Pty Ltd.

Applies to all personal within the organisation that are responsible for the collection and storage of this information, office, administration and managerial staff.

Management and Office staff should read and understand the above Polciies and ensure that the personal information of our customers and staff is used only for the intended purpose and not disclosed to any parties unless provided for within the above Terms and Conditions.

4. Management Responsible for ensuring that the personal information of our customers and staff are secure.

Management need to ensure that any personal information collected from our customers and staff is maintained in a secure environment and not subject to online phishing scams, computer virus and hacking, theft or fire:

Managers in carrying out the above as a minimum should ensure the following task are being undertaken:

• Anti-virus software installed on the local computer network is of a superior standard, regularly updated and maintained.
• Local computer operating system, hardware and software programs (including reservation software) are regularly updated.
• The Personal information of customers and staff of the business is secured via passwords protection and only accessible by authorised personnel.
• All customer and staff information held in hard copy on file, on-site, is held in a restricted and secure, fire and weather resistant cabinet.  
• All information collected and held by the business in relation to its customers, staff and suppliers, is used solely for the purpose of conducting the business of the caravan parks in terms of its Privacy policy and for no other reason whatsoever.

5. New Suppliers/Credit Application/ Change of Supplier Information

New suppliers/ Credit applications/ Change of supplier information can only be authorised approved through head office and the submission of the relevant forms. (see new supplier application form).

6. Credit Card and Financial Information

Storing credit card and financial information for Customers in the Customer Tab in Campground Master in the Guarantee Info Section, and only accessible by authorised personnel.  

All credit card/financial information held in hard copy on file, on-site, is held in a restricted                   and secure, fire and weather resistant cabinet

7. Employee Information

The personal Information of the business’s employees is not to be kept or held on Park computers where staff and other personnel may potentially access this information.

8. Security Breach

In the event of a security breach with respect to the aforementioned head office is to be notified any breach of the above immediately.
